    5 Numbers Every Practitioner Should Track Weekly (And Why Most Don't)

    Ask most practitioners how their practice is doing and you'll get a feeling-based answer: "It's been busy" or "Things are slow" or "I think we're about the same as last year."

    Ask them for their actual numbers — new patients per month, patient visit average, retention rate — and you'll often get a blank stare.

    This isn't a criticism. It's an observation about a pattern I've seen across 25+ years of coaching. Practitioners are trained as clinicians, not business analysts. But here's what I've learned: the practices that thrive are the ones that track.

    The 5 Numbers That Tell You Everything

    You don't need a dashboard full of KPIs. You need five numbers, tracked weekly:

    1. New Patients Per Week. This is your growth engine. If this number is consistently below target, your marketing and referral systems need attention.
    2. Total Patient Visits. This measures your overall practice activity. Combined with new patients, it tells you about retention.
    3. Collections Per Week. Not charges — collections. What actually came in the door. This is the truth about your practice's financial health.
    4. Patient Visit Average (PVA). How many visits does the average patient complete? This is the most telling metric for communication effectiveness. Low PVA = patients aren't understanding or buying into the care plan.
    5. Show Rate. What percentage of scheduled patients actually show up? Low show rates indicate a scheduling or relationship problem.

    Why Tracking Changes Behavior

    Here's what's remarkable: I've seen practices transform in 90 days simply by tracking these five numbers — without changing anything else. Why?

    Because awareness changes behavior. When you see your PVA is 12 and you know it should be 24+, you naturally start paying more attention to how you communicate with patients at visits 8, 9, and 10. When you see your show rate dipping, you instinctively improve your scheduling conversations.

    Numbers don't just measure reality. They shape it.

    How to Start This Week

    Create a simple spreadsheet with five columns — one for each metric above. Every Friday afternoon, fill in the numbers. It takes five minutes.

    After four weeks, you'll have enough data to see patterns. After eight weeks, you'll wonder how you ever ran your practice without this visibility.
